Facility Summary Details Screen

The Facility Details Information screen displays the basic details about a facility.  The information icon beside some  of the fields will open a window to display the effective dated history for the field.  

 

Steps to view the Facility Details Information window:

1.    Search for a facility in the main Facility module using any of the available search options

2.  Click a row in the search results to select a facility

3.  The screen is refreshed and the Facility Summary Details Information window is displayed

Checked = Legal issue working       Not Checked = No legal issues

Primary Facility Id

If this facility is part of a group, then the primary facility id will be listed in this field.  If this is a single facility and is not part of a group, then the primary facility id will be the same as the facility id.  (The primary facility is associated when the facility is created.)  

Facility Id

The facility id is automatically generated when the facility is created.  The application looks at the last facility id used in the database and assigns the next number to the facility.  This field cannot be edited  

Management Type

This is the facility management type.  

  • The default management type when a facility is created is Other-Affiliate.

  • This information can be updated by selecting a value from the drop down list.  

  • This field is updated by the Legal team.

Brand

This is the facility brand.  

  • This field defaults to Independent when a facility is created.

  • The brand can be updated by selecting a different value in the drop down list.

Facility Type

This is the type of facility.  

  • This field defaults to Hotel when the facility is created.

  • The facility type can be updated by selecting a different value in the drop down list.

Development Type

This field specifies if this is a New Development, Conversion or  Adaptive Re-use.  

  • This field defaults to New Development when the facility is created.

  • The Development Type can be updated by selecting a different value in the drop down list.

  • New Development – This is a build on a blank piece of land.

  • Conversion – This is a build that is converting a building that was formerly a different hotel type.

  • Adaptive Re-Use – This is an existing building that used to be something other than a hotel.

Facility Name

When the facility is created, the name if this field is used to automatically generate the Sortable name type for the Facility Names tab.  Once the facility is created, this field is read-only.  Any changes to the facility sortable name type must be done on the Facility Names tab .  

Facility Status

This field is read only.  The Facility Status is used for the contractual status of the property.  This is the Physical Status of the hotel. The Facility Status is tied to the facility date types.  When specific facility date types are entered on the Facility Dates tab, Contract Dates tab, or Project Dates tab.

  • O = Open, Hotel is Open for business

  • S =  Seasonal, Hotel is open seasonally for business

  • T =  Temporarily closed, due to renovations/or construction due to natural/man-made disaster

  • U = Under Construction, hotel is still being built is pending Opening

  • C = Closed - A closed hotel is a hotel that WAS open and has been removed from the system.

  • M =Terminated - A terminated hotel is a facility that was in a pre-opening stage, and was never opened.

Open/Close Status

This field is read only for this screen.  The Open/Close status is tied to the facility date types.  When specific facility date types are entered on the Facility Dates tab, Contract Dates tab, or Project Dates tab.

The Open Close status is the system status of the hotel.   The hotel can be temporarily or seasonally closed, but it is still considered an open and operating property.  For example:  the Facility Status can be Seasonally Closed, but the Open/Close status will be Open because the property is still considered an open and operating property.

CTYHOCN

The CTYHOCN is the alphabetical facility identifier and the two letter brand identifier.  The first three letters of the CTYHOCN are normally the three character airport code for the closest airport.  The last two characters are the brand chain code.

·         Inncode/PropCode – This is the CTYHOCN minus the last two characters that represent the brand.

Infinium Location #

This field is automatically generated. The field is not editable.

Business Unit

This field is the hotel's Peoplesoft 8.9 business unit

Global BU

This field is the hotel’s Peoplesoft 9.2 business unit

Validations for PIM Global BU/OU fields:

  1. When the Primary facility ID and Secondary facility id are different values - The PiM application only allows one combination of Global OU and Global BU values for each combination of Primary Facility and Secondary Facility.

Example:

  • A facility’s Primary facility ID is 2921 and the secondary facility ID is 48067.  This facility has and Global OU = 11111 and a Global BU = 55555. 
  • Another facility’s Primary Facility is 2921 and the secondary facility is 12345.  This facility can have an OU  = 11111 but the Global BU cannot = 55555 because it is the same as the primary and secondary facility combination in the previous example.

2.  The PiM application does not allow duplicate Global BU or Global OU field values when the Primary Facility ID and Secondary Facility ID are the same value. 

3. Only 5 digit Numeric values are allowed

o    Range of Global BU field will be - 10000-49999

o    Range of Global OU field will be- 50000-99999

Global OU

This field is the Peoplesoft 9.2 OU.  See business rules above for Global BU.

AR Customer #

This field is the AR Customer number

Primary City

The primary city associated with the facility.  The user types in the value.

Market Tier

This is the Market Tier for the facility.  

  • This field defaults to N/A when the facility is created.

  • The Market Tier can be updated by selecting a different value in the drop down list

Revenue Transmission Frequency

This field is for the Revenue Transmission Frequency.  

  • This field defaults to Daily when the facility is created.

  • The Revenue Transmission Frequency can be updated by selecting a different value in the drop down list.

Congressional District

Type in the congressional district.  The user types in the value.

Renovation Planned/In Process

      This field indicates if the facility has one or more Renovation Projects planned or in Process.  The field is Read Only.

  • If there are active Renovation Projects associated with the facility, then this checkbox is automatically checked.

  • If there are not active Renovation Projects associated with the facility, then this checkbox is automatically unchecked.

Shared Structure

This field indicates if there is one or more brands that share the same building.

  • If there are shared structure details, then the checkbox will be checked.  Click the Details button to view the shared structure details.

  • If there are no shared structure details, then the checkbox will be unchecked.

Accounting Type

This field is for the accounting type.

  • The field defaults to HHC Franchised when the facility is created.

  • The users can change the Accounting Type by selecting a different value in the drop down list.

Payroll Type

This field is for the payroll type.  

  • The field defaults to Not Applicable when the facility is created.

  • The users can update the Payroll Type by selecting a different value in the drop down list.

PMS Type

This is the Property Management System type.  The PMS Type & Version are updated via a nightly job in PIM. 

  • When a new facility is created, the PMS Type defaults to OnQ, the PMS Version is blank.

  • The nightly job will update the PMS Type and PMS Version fields based on the CTYHOCN (INNCODE) from PMS.

  • If the facility in PIM does not have a CTYHOCN, then the PMS Type and PMS Version will remain the default values unless users update manually.

PMS Version

This is the OnQ Property Management System version.  See PMS Type for logic on how the field is updated.

Prototype

The prototype field is populated based on the brand selected when the facility is created. 

  • Select an item from the drop down list to change the Prototype.

Former Affiliation

Type in the former affiliation, if applicable.  The field is only editable for facilities with the Development Type = Conversion or Adaptive Re-Use.

  • If the value is populated in O2O, then the field is populated when the facility is created in PIM.

  • The value can be edited if the Development Type is Conversion or Adaptive Re-Use.

Flrs/Corr

This is the number of floors/corridors at the facility.

  • The default value is Unknown when the facility is created.

  • The users can update the Flrs/Corr by selecting a different value in the drop down list.

F&B Full Service?

  •       Checked = Yes, this facility has full service food and beverage

  •       Not Checked = No, this facility does not have full service food and beverage.  The    default value is Not Checked.

Domestic Tax ID

Type in the domestic tax id for this facility

International Tax ID

Type in the international tax id for this facility

Time Zone

The Time Zone value is automatically updated via a job that runs each Thursday night using a 3rd party API.  Although this field can be edited, it will be overwritten and updated the next time the job runs.

Actual City Code

Type in the actual city code

Online Latitude

This field is manually updated.  If this field needs to be updated, please send an email to: Latitude_and_Longitude_Support@hilton.com

The Online Latitude/Longitude is the coordinates used on the websites to take guests to the front door of the property.

Online Longitude

This field is manually updated.  If this field needs to be updated, please send an email to: Latitude_and_Longitude_Support@hilton.com

Legal Latitude

This field is manually updated.  If this field needs to be updated, please send an email to: Latitude_and_Longitude_Support@hilton.com

The Legal Latitude/Longitude is the coordinates for the center of the parcel of land where the facility resides.

Legal Longitude

This field is manually updated.  If this field needs to be updated, please send an email to: Latitude_and_Longitude_Support@hilton.com

FEMA Number

Type in the Federal Emergency Management Agency (FEMA) number.

GMT Hours

The GMT hours (or Offset) is automatically updated based on the Time Zone.  Although the field can be edited, the job will overwrite any manual entry.
